Sr. Science and Grants Operations Manager

Position: Sr. Science and Grants Operations Manager - American Heart Association
ABOUT THE AMERICAN HEART ASSOCIATION:
Since our founding in 1924, we've cut cardiovascular disease deaths in half, but there is still so much more to do. The American Heart Association has an excellent opportunity for a Sr. Operations Manager based at our National Center (Home-Based is acceptable).
This is a fixed-term position with funding through 6/30/2028. Funding likely to extend.
RESPONSIBILITIES:
Grants Portfolio Management:
• Lead operations for a portfolio of data science research grants, including tracking, management, communication, and working with staff in the Office of Science Operations
• Leverage AI across different programs and expertly navigate programs, including Excel and Smartsheet, to maximize operational efficiency
Surveillance Program Development:
• Establish and lead operations for a new surveillance program, including communicating with external stakeholders, internal staff, contractors, and expert volunteer committees
• Coordinate with lead staff statisticians and epidemiologists to provide operational and communication plans between external healthcare volunteers and leaders
• Recommend approaches and suggestions for final decisions
Financial Operations:
• Handle operations including accounting, expense reporting, and procurement
• Build relationships with legal, external vendors, and partners to ensure overall business goals are achieved
• Develop reports, trackers, or assessment tools to ensure compliance
• Prepare and distribute monthly reports on variances to project requirements for leadership
• Analyze financial activities from purchasing, contract terms and vendor invoices against budget
• Provide reconciliation, mentorship, and recommendations
Contract Management:
• Handle departmental contracting processes, including site and sponsor contracts
• Work with legal department to establish and negotiate contract terms for hospitals, practices, sponsors
• Monitor and track process of associated statuses and documents
• Utilize vendor and/or AHA systems (E1, Optimus, iEnvision, etc.) efficiently to process invoices, contracts, requisitions, and expenses
• Handle staff who support operational activities
QUALIFICATIONS:
Education:
• Bachelor's Degree or equivalent work experience
• Master's Degree preferred
Required Experience:
• Minimum of 5 years of meaningful work experience in healthcare research space, legal, contracts, and budget
• 5 years of grants and grant management experience
• Comprehensive experience with researchers, operational planning, and management
• Extensive knowledge of budgeting, financial, and reporting processes for service agreements and/or grants
• Proficient in budget projection and planning, variance analysis, and reconciliation requirements
• Ability to analyze financial data and interpret into narrative form
Required Skills:
• Excels in oral and written communications
• Ability to communicate with all levels of Association staff and outside experts
• Demonstrated ability to concurrently manage multiple projects and reprioritize ongoing work
• Applying principles and practices of accounting, financial analysis, and general business administration
Preferred Experience:
•7+ years of meaningful work experience, including research grants and grant management in healthcare space
• 3 years of experience with developing and managing process documentation
• 3 years of experience working in a fast-paced, multifaceted environment
• Excellent at working against deadlines to provide the end product
COMPENSATION & BENEFITS:
Salary: $105,000 - $125,000 (Pay is commensurate with experience; geographic differentials may apply)
